FreightLeads Pro is a B2B SaaS platform for freight brokers and logistics professionals, providing lead intelligence, CRM, dispatch management, invoicing, and carrier compliance tools. For the purposes of Canadian privacy law, FreightLeads Pro acts as the data controller for personal information collected through the platform. For inquiries, contact [email protected].
We collect the following categories of information: Account & profile data: name, email address, company name, password (hashed), and plan information when you create an account. Business and operational data: loads, rate confirmations, invoices, carrier records (including compliance documents, insurance certificates, MC/DOT numbers), customer profiles, contacts, pipeline data, sequences, and tasks that you create or import into the platform. Uploaded documents and files: proof-of-delivery images, bills of lading, load attachments, customer documents, and your company logo, stored in Supabase Storage. Team and workspace data: names, email addresses, and roles of team members you invite to your workspace. Payment data: We do not collect or store payment card information. All payments are handled directly by Stripe. We receive confirmation of subscription status from Stripe. Usage and audit data: actions performed in the platform (loads created, invoices sent, member role changes, etc.) recorded in an audit log accessible to workspace owners. Technical data: IP address, browser type, and session identifiers collected automatically for authentication and security purposes.
We use the information we collect to: • Provide, maintain, and improve the FreightLeads Pro service • Authenticate your identity and manage your session • Process subscription payments through Stripe • Send transactional emails: account confirmation, password reset, team invitations • Enable team collaboration features within your workspace • Maintain an audit log of workspace actions for security and compliance • Respond to support requests • Communicate product updates and changes to these policies We do not sell, rent, or share your personal information with third parties for their own marketing purposes. We do not use your operational data (loads, invoices, carrier records) to train AI models.
FreightLeads Pro includes AI-powered features including lead suggestions, AI-drafted cold emails, and CRM insights. These features are powered by Anthropic's Claude API. When you use an AI feature, relevant context (such as company names, industry information, and the specific prompt) may be sent to Anthropic for processing. We do not send sensitive personal information such as carrier insurance documents, banking details, or invoice payment information to Anthropic. AI-generated content is a suggestion only — you are responsible for reviewing and editing any AI-generated text before using it. Anthropic processes data in the United States. Rate Request Inbox (email parser): When you use the Rate Request Inbox feature (available on Pro and Team plans), you may forward or BCC customer emails to a unique address assigned to your account. FreightLeads Pro processes the content of these emails using Anthropic's Claude API to classify the email type and extract structured freight data (such as origin, destination, equipment type, and pickup date). The following information is stored per email: the sender's email address, the email subject line, and up to 500 characters of the email body (snippet only — the full email body is not retained). AI-extracted structured fields and a one-sentence summary are also stored. A monthly processing limit of 500 emails applies per account. By using this feature, you represent that you are the intended recipient of the emails being forwarded and that you have the right to submit them for processing. PO / BOL Import (document parser): When you use the PO / BOL Import feature, you upload a PDF document (such as a customer purchase order or bill of lading) to extract shipment data. The full content of the uploaded PDF is transmitted to Anthropic's Claude API for processing. The PDF may contain business contact information, addresses, shipment details, financial rates, and payment terms. The PDF itself is not stored by FreightLeads Pro — only the structured fields extracted from it (such as customer name, origin, destination, and rate) are retained as part of the load record. By using this feature, you represent that you have the right to upload and process the document. AI extraction is approximate and you are responsible for verifying all extracted data before use.
FreightLeads Pro provides access to B2B contact data (business email addresses, job titles, company phone numbers, and company information) sourced from Apollo.io, a third-party data provider. This data relates to individuals acting in their professional or business capacity. We comply with applicable privacy laws including Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec's Act respecting the protection of personal information in the private sector (Law 25 / Bill 64), and applicable US laws. Users are responsible for using contact data in compliance with all applicable laws, including Canada's Anti-Spam Legislation (CASL) and the US CAN-SPAM Act. The platform is designed for legitimate B2B outreach. Bulk unsolicited emailing, harassment, or any use that violates applicable laws is strictly prohibited. Each contact reveal consumes a credit from your account. Revealed contact data is stored in your pipeline and is visible to members of your workspace.
Your data is stored on servers operated by Supabase (PostgreSQL database and file storage), hosted in the United States (US East / Northern Virginia). The platform is deployed on Vercel, also hosted in the United States. By using FreightLeads Pro, you acknowledge that your personal information will be transferred to, stored, and processed in the United States, which may have different privacy protections than your country of residence. We rely on the necessity of such transfers to perform our contract with you. We use industry-standard encryption in transit (TLS) and at rest. File storage (documents, logos, PODs) uses Supabase Storage with access controlled by signed URLs that expire after a short period.
We use the following third-party services. Each has its own privacy policy: • Supabase — database, authentication, and file storage (supabase.com/privacy) • Stripe — subscription billing and payment processing (stripe.com/privacy) • Apollo.io — B2B contact data provider (apollo.io/privacy-policy) • Anthropic — AI features (anthropic.com/privacy) • Vercel — platform hosting and edge delivery (vercel.com/legal/privacy-policy) • Resend — transactional email delivery (resend.com/legal/privacy-policy) • FMCSA SAFER — publicly available carrier authority and safety data accessed via the US Federal Motor Carrier Safety Administration's public API We do not use advertising networks, social media trackers, or any analytics services beyond basic server-side logging.
We use essential cookies for authentication (session tokens issued by Supabase) and a functional cookie to remember your language preference (English or French). These are strictly necessary for the service to operate. We use browser localStorage to remember your UI preferences such as sidebar state, theme (dark/light mode), and column ordering. This data never leaves your browser. We do not use tracking cookies, advertising cookies, or third-party analytics cookies. We do not use Google Analytics or similar services. Because we only use strictly necessary and functional cookies, we do not display a cookie consent banner. If you are a Quebec resident, note that functional cookies are used solely to improve your experience and do not track you across other websites.
We retain your personal information for as long as your account is active and as necessary to provide the service. If you cancel your subscription, your account and data remain accessible until the end of your billing period. If you delete your account, or request deletion, your data (including all loads, invoices, carrier records, and uploaded files) will be permanently deleted within 30 days, except where we are required by law to retain certain records. Audit logs may be retained for up to 12 months after account deletion for legal and compliance purposes. Credits that expire before use are removed from your credit ledger and are not recoverable after account deletion.
We implement reasonable technical and organizational measures to protect your personal information against unauthorized access, disclosure, or destruction. These include encrypted connections (TLS), hashed passwords, row-level security on our database, and access control tied to your workspace. In the event of a data breach that poses a risk of harm to you, we will notify affected users without unreasonable delay and, where required, notify the relevant privacy authority, in accordance with PIPEDA and Quebec's Law 25.
Depending on your jurisdiction, you may have the right to: • Access the personal information we hold about you • Correct inaccurate information • Request deletion of your personal information • Withdraw consent (where processing is based on consent) • Data portability — receive a copy of your data in a structured format Canadian residents have rights under PIPEDA. Quebec residents have additional rights under the Act respecting the protection of personal information in the private sector (Law 25), including the right to restrict certain automated processing. We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and update the "Last updated" date at the top of this page. Continued use of the service after the effective date of any changes constitutes your acceptance of the updated policy.
